What information do we collect about you

We collect information about you when you refer into the service, take part in an event or activity, volunteer or work for the CBC, make an enquiry and/or if you fundraise for us. We also collect information when you voluntarily complete customer surveys, provide feedback and participate in evaluations, most of which are anonymous unless otherwise stated.  We may also get your information from publicly-available sources, like LinkedIn or your organisation’s website. The personal data we collect from third parties is limited to name, contact information and/or job title.

 

Why we collect personal information

We need information about you to provide an effective bereavement support or counselling service, to comply with employment law and other statutory requirements, collate statistical data to report to funders and effectively manage the charity.  We may contact you about promotions, charity stories, training and volunteering opportunities and news to keep you up to date about the service and/or income generation events and activities. 

 

How we use personal data

We use the information you give us to respond to enquiries or to provide information and/or services.  We may also process your personal information for our legitimate business interests, provided that these uses aren’t outweighed by your rights or interests. We’re using legitimate interest as our legal basis for sending direct marketing to potential and existing clients and supporters, because our ability to promote our services is necessary for our commercial interests to fund existing services and expand where possible, to meet the high demand for our support.  We may therefore send marketing communications via email or post from which you can opt out at any time.

 

Consequences of Not Providing Data

You are not required to provide personal data to us, however, failure to do so may affect our ability to provide certain services. For example, we cannot provide access to our bereavement and counselling services without detailed information from the referrer.

 

Sharing Your Personal Data

Your information will not be passed to any third party except when we believe a child or vulnerable adult might harm themselves or where actual harm could come to a person or place, if required by law or to enforce our legal rights to defund us against a legal claim.  In these circumstances we have a legal obligation to report/supply relevant information to the appropriate authorities.

  • IT, financial, client data and information security providers – to help us provide the website, services and keep your data safe;
  • Online fundraising sites - to improve our fundraising capability;
  • Communication providers – to assist with the delivery of email and other communications.
  • Behavioural analytic tools – to collect and help us to understand data when you use our website and services.

 

We monitor information security compliance and have agreed terms and conditions with partners or third-party providers to process your personal information in accordance with applicable data protection and privacy laws.

We take the protection of your data very seriously.  We restrict access to personal information collected about you to those that need information to provide our services or in the course of conducting our business operations or activities.  We maintain appropriate physical, electronic and procedural safeguards to protect your personal information. Information is held on secure password protected databases and/or computers that have limited access and high security protection.  All information will be disposed of securely.

The length of time we hold your personal information for varies depending on the type of information and its use.  We will only keep your personal information for as long as it is necessary to provide the services that you have requested, or for such other essential purposes such as complying with our legal obligations, resolving disputes, investigating disciplinary matters and enforcing our agreements.  We may also retain the data in accordance with statutory requirements.

 

If you have indicated that you do not wish to hear from us in the future, we will keep the minimum information necessary to ensure we avoid contacting you any further.

Access to your information and correction

You have the right to request a copy of the information that we hold about you.
